Start with the boundary: record the information and revisions used for pricing, then list inclusions, exclusions, interfaces and handover responsibilities in language that the project and site teams can follow.
A ventilation package can cross several trade boundaries. The drawings may show where a duct route finishes without confirming who provides the opening, connection, insulation, controls interface or final testing. Those points should be addressed before mobilisation wherever possible.
Separate system geometry from package responsibility
Layouts, sections and schedules describe what is intended to be installed. They do not always allocate every responsibility. A scope schedule or responsibility matrix can sit alongside the drawings and state which party owns each element.
The record should use the latest available information and identify any item that remains subject to design development or confirmation.
Boundaries to record

- Plant and connectionsIdentify the connection points and who supplies, positions or connects associated equipment where relevant.
- Supports and accessClarify support responsibilities, access arrangements and any powered access or lifting assumptions.
- Openings and builders' workRecord who provides openings, making good and other interfaces with the building fabric.
- Insulation and controlsState whether insulation, wiring or controls connections sit inside or outside the installation package.
- Testing and handoverDefine any testing, commissioning assistance, labels, photographs or close-out information included in the agreed scope.
Questions to close before award
Which drawing revision forms the pricing basis? Are equipment and material responsibilities stated? Which areas will be available, and in what sequence? Are there restricted working hours, storage constraints or access rules? Who coordinates unresolved service clashes? What handover information is expected from the installation package?
Not every question has to be fully closed on day one. Open items should be recorded with an owner and a target date so they do not disappear between commercial review and mobilisation.
Keep the agreed scope usable on site
A concise scope is easier to use than a long document that hides the important boundaries. Give the contracts manager and site team access to the same agreed information, including clarifications and accepted revisions.
